Payment certificate template in Excel
A free interim payment certificate in Excel, with no sign-up and no email. The formulas are already in the file: you type quantities and rates, and it works out the values, the deductions and the net due for the certificate.
Free, with no sign-up and no email · Excel file (xlsx) in Arabic, right-to-left, ready to print
When to use this certificate template
- Main contractor: prepare the monthly interim certificate and submit it to the consultant or the owner.
- Subcontractor: claim the period works from the main contractor with the same previous, current and cumulative logic.
- Site engineer and consultant: check executed quantities against the BOQ quantities before approval.
- Final certificate: the same table with the final measured quantities, then settle the retention as the contract says.
What is in the file?
- One right-to-left sheet, set to print on A4 landscape.
- Two item sections: ordinary works (BOQ items) and additional works (variation orders).
- Example items marked «مثال» to show how to fill it, and empty rows with their formulas for your own items.
- A summary under the table: gross works, retention, advance-payment recovery, other deductions and the net due, then the signature boxes.
How to fill it, step by step
- Type the project, contractor, certificate number and period in the title lines at the top of the sheet.
- Delete or overwrite the example items, and copy your BOQ items with their numbers, units, rates and contract quantities.
- Copy the cumulative quantity of the last approved certificate into «الكمية السابقة» (previous quantity).
- Type the period quantity in «الكمية الحالية» (current quantity), and lower «نسبة الصرف» (payment %) for items not paid in full.
- Put variation orders in the additional works section so they stay apart from the contract items.
- Check the retention and advance-payment rates in the summary against your contract, then write the amount due in words and sign.
Column guide: what goes in each column
| Column in the file | What to write |
|---|---|
| مNo. | The item number as in the BOQ or the contract. |
| بيان الأعمالDescription of works | The item description as written in the BOQ, without shortening its meaning. |
| الوحدةUnit | Unit of measure: m3, m2, linear metre, tonne, number or lump sum. |
| الكمية التعاقديةContract quantity | The item quantity in the contract BOQ. Used for progress and to spot an overrun. |
| الفئةUnit rate | The contract rate per unit of the item. |
| الكمية السابقةPrevious quantity | The cumulative quantity of the last approved certificate. Zero on the first certificate. |
| الكمية الحاليةCurrent quantity | What was executed during this certificate period only, from the approved take-off or measurement. |
| الكمية الإجماليةCumulative quantityformula | Previous + current. A formula, do not type in it. |
| نسبة الصرف %Payment % | 100% for a finished item. A lower share for an item done but not yet accepted or awaiting a test, as the contract allows. |
| القيمة السابقةPrevious valueformula | Previous quantity × rate × payment %. |
| القيمة الحاليةCurrent valueformula | Current quantity × rate × payment %. |
| القيمة الإجماليةCumulative valueformula | Cumulative quantity × rate × payment %. |
| نسبة الإنجازProgressformula | Cumulative ÷ contract quantity. Above 100% means the BOQ quantity is exceeded and needs a variation order. |
| ملاحظاتNotes | The take-off or measurement record number, or why the payment % is reduced. |
A worked example from the file
The reinforced concrete columns and slabs item: contract quantity 310 m3 at a rate of 4,700, of which 95 m3 were certified before and 80 m3 were done this period. The cumulative quantity is 175 m3, the current value 376,000 and the cumulative value 822,500. For the whole certificate (the six example items):
| Gross works to date | 1,790,410 |
|---|---|
| of which works this period | 549,760 |
| Retention 5% on the period works | 27,488 |
| Advance-payment recovery 10% on the period works | 54,976 |
| Net due for this certificate | 467,296 |
Net due for the certificate = net to date minus the net of the previous certificates; the file works it out on the last line of the summary.
Practical notes
- Do not type in the formula columns; change only quantities and rates.
- The retention and advance-payment rates in the file are examples; the right rates are the ones in your contract.
- If the contract adds a tax, a stamp duty or a delay penalty, add it as a line under other deductions.
- Keep a take-off record for every current quantity; the consultant approves the measured quantity, not an estimate.
Create the certificate automatically in Ta3mir
In Ta3mir the next certificate starts from the previous one in one click, moving the cumulative total into the previous column; deductions come from the contract terms, and the consultant approves the certificate from their own account.
